Attain was commissioned by The London Clinic to lead a programme to prepare and implement an eRostering solution that best meets the needs of the organisation. ​The objectives of the project were to:

  • Engage with London Clinic stakeholders to understand needs, assess current working arrangements and systems, and prepare a specification for an eRostering solution.
  • Lead a procurement process to identify an eRostering system that best meets London Clinic needs through market engagement, stakeholder engagement, and contracting.
  • Implement the selected system with London Clinic stakeholders and supplier project managers to deliver the benefits identified in the business case and operational efficiencies of the selected system.

What We did

  • Designed a light-touch governance and programme management structure to ensure full alignment from the Executive Team through to front-line users.

  • Engaged with clinical and operational teams to ensure wide participation and engagement right from pre-procurement design and product selection through to implementation.

  • Managed a procurement process using best practice processes from public and private sector to select the optimum solution in rapid time, whilst maintaining wide involvement in the selection process.

  • Worked in partnership with the selected supplier to implement the eRostering solution over four waves to maintain business continuity, spread risk, and deliver the greatest benefits as early as possible.

Outcomes

Successful Phase 1 rolling out the product across all areas including the following:

  • High levels of product uptake from users in the four waves, resulting in minimal intervention or changes in the product configuration to realise the forecast benefits of the solution.

  • High levels of client satisfaction, from the Exec Team through to front line users, evidenced through the eRostering user community group.

  • BAU eRoster support in place to check and challenge rosters.

  • Post-roll out lessons learned, this identified the benefits of a centralised staffing model and activity–based budgets to hold to account. Further efficiency benefits have been identified through greater standardisation of staffing processes which the eRoster product can support.
